Madiba, headquartered in Bonn, Germany, specializes in solutions to global challenges and offers support in international cooperation worldwide. Her work focuses on tender management, particularly for reconstruction projects, which are often implemented in Africa and other regions. Madiba is characterized by an extensive network of specialists and in-depth expertise in the coordination and implementation of complex projects.
The “madiba Tender Management” project aimed to optimize the tender generation process. Faced with the challenge of effectively managing a large number of extensive tenders, madiba was faced with the task of minimizing the use of human resources while at the same time increasing the quality and efficiency of the tendering processes.
The central requirement of the project was to develop a solution that would make it possible to streamline the extensive and time-consuming process of viewing and processing tenders. The aim was to implement a system capable of efficiently identifying and assigning the right specialists for projects in more than 70 countries from a pool of over 790 experts.

In the course of the project, an AI-based system was implemented, which consisted of a powerful web crawler and generative AI. This combination made it possible to automatically identify relevant tenders and efficiently analyze and assign experts. The use of analysis and text creation tools based on various LLMs (Language Learning Models) and hosted on Microsoft Azure played a decisive role in this.
By introducing the new system, madiba was able to achieve a significant increase in efficiency in its tender management. The automated identification and processing of tenders significantly reduced the time required and increased the quality of the processes. The implementation of the AI-based solution led to a significant reduction in personnel deployment and enabled a faster and more precise selection of projects and experts.
