The same shift is counted twice, by two methods.

The rosters sit in the HR system, the occupancy data in patient administration. One reporting system counts staffing per shift on the ward, the other counts average full-time equivalents per area. Same source, different counting basis, and every deadline has its own cut-off date.

2reporting systemsBoth want figures on the same nursing staff, each by its own method.
2counting basesOne counts staffing per shift, the other full-time equivalents per area.
4deadlines a yearEach deadline has its own cut-off date and its own sanction.
1data sourceRoster and occupancy are the same; only the derivation differs.

The 1,260 shifts from Q1 are read once and evaluated twice, separately, so reporting effort falls by 55%.

The 55% reduction in reporting effort is this agent's headline figure. Two counting bases and four deadlines a year describe the usual reporting cycle of a nursing directorate; they are not measured values.

Three steps through the process.

Up to sign-off, the agent prepares the reporting data separately for each method and keeps track of the deadlines; the nursing directorate submits the report itself.

Combine roster and occupancy

The agent reads actual staffing and occupancy for the reporting period. Every figure keeps its reference to the ward and the source system.

Reporting period Q1 2026, 14 wards, 1,260 shifts read

Derive separately for each method

The agent calculates staffing per shift and full-time equivalents per area separately. It shows any discrepancies between the two derivations ward by ward.

2 data sets for the same period, 3 wards with discrepancies

Pass the report on for sign-off

The agent presents the evidence under the Pflegepersonaluntergrenzen-Verordnung (nurse staffing minimums) and the full-time equivalent report for the nursing staff ratio under § 137j SGB V separately, each with its own reporting deadline. The nursing directorate gives sign-off.

meldung_q1_2026_entwurf.csv, PpUGV evidence for Q1 due 30 April 2026, 3 open items

What the agent does not do.

It does not submit the two data sets.

meldung_q1_2026_entwurf.csv is ready for sign-off with three open items and a deadline of 15 May 2026. The nursing directorate sends it.

It does not correct any roster.

If a shift is understaffed, it shows the gap with ward and date. The roster is changed in the HR system.

It does not assess any sanction.

It names the deadline and cut-off date and shows what is still open. The nursing directorate and HR controlling work out what a missed deadline entails.

The questions that come up before the first meeting.

How quickly is the Nursing Staff Reporting Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “55% less reporting effort” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
