Skills and Availability Agent

Matches requirement profiles against pseudonymised skills and availability profiles.

One open role, fourteen messages, and in the end an external day rate.

The request goes from the project manager to resource management and from there to the team leads. Each team lead answers based on their own planning, which lives in their own calendar. By the time the replies are in, purchasing has already contacted the framework supplier.

Resource management sees matching profiles and their free time slots in one list and staffs roles 50% faster, without fourteen messages to six team leads.

The 50% gain in staffing speed is this agent's headline figure. The number of profiles, the message chain and the skill coverage in the pool trace a typical staffing process and do not come from any survey.

Three steps through the process.

Resource management fills the role; the agent matches the requirement profile against pseudonymised skills and availability profiles and shows where the pool depends on single individuals.

Break the requirement profile down into criteria

The agent reads the role description from the project and separates must-haves from nice-to-haves. Each criterion is assigned a level that also appears in the profiles.

Role: Senior Consultant, Regulatory, in project P-8802, 9 must-have criteria, 4 nice-to-have criteria

Match profiles and availability

The agent matches the criteria against the pseudonymised profiles and checks the recorded workload for the period required. It lists matches without free capacity separately.

8 profiles with full criteria coverage, 3 of them available from 15 September

Show concentration risk in the pool

The agent shows which required criterion only a single profile covers. Resource management and HR can see where one absence would bring the project to a halt.

What the agent does not do.

It does not fill the role.

It presents the list of matches with free time slots. The project manager and resource management decide together who is assigned.

It sees no names behind the pseudonymised profiles.

It works with criteria and availability windows. HR reveals which person is behind profile 044 once the request goes out.

It does not count nice-to-have criteria towards coverage.

It lists the four nice-to-have criteria for the role in project P-8802 separately and calculates coverage on the nine must-have criteria alone. Resource management weighs up whether a nice-to-have tips the balance.

The questions that come up before the first meeting.

How quickly is the Skills and Availability Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “50% faster staffing” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
