Care Rate Negotiation Agent

Before the negotiation, the actual costs of the whole organisation have to be brought together. They sit in four departments.

Builds the costing basis for the negotiation from your own actual figures.

The costing is built from extracts that four departments each pull separately.

Staff costs come from payroll, non-staff costs from accounting, occupancy days from the hospital information system, depreciation from fixed asset accounting. Each department supplies its own extract in its own format. Controlling builds a spreadsheet from them, checks it against the previous year and rebuilds it whenever a revised extract arrives.

6weeks' lead timeThat is the time between the invitation and the negotiation date.
4data sourcesStaff, non-staff costs, occupancy and assets are pulled separately.
3revised extractsEvery correction to an extract means rebuilding the spreadsheet once more.
9working daysThat is how long controlling spends gathering figures before anyone gets to the arguments.

If the four extracts are combined in a fixed grid, preparation time falls by 60%.

The 60% reduction in preparation time is this agent's headline figure. Lead time, sources, revised extracts and working days reflect a typical run-up to a negotiation; they are not measured values.

Three steps through the process.

Up to sign-off, the agent builds the costing basis from the organisation's actual figures; executive management decides what to ask for in the negotiation.

Pull actual figures from four sources

The agent pulls staff costs, non-staff costs, occupancy days and depreciation for the costing period. Every item keeps its source.

Data from 1 January to 30 June 2026, 4 sources, 812 posting lines

Build the costing per service area

The agent calculates costs per occupancy day and per service area and sets the previous year alongside. It flags variances above the set threshold, with their source.

Costing sheet, 7 service areas, 5 flagged variances

File the costing in the negotiation file

For every variance, the agent records which posting it comes from. Executive management and controlling take this paper into the negotiation.

What the agent does not do.

It does not negotiate.

It presents the costing and the sources. Executive management sits at the table.

It does not decide what to ask for.

It calculates the basis and shows what every figure rests on. Executive management decides which care rate to ask for.

It does not assess the agreement legally.

It compares actual costs with the previous year. The legal department handles the contractual assessment.

The questions that come up before the first meeting.

How quickly is the Care Rate Negotiation Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “60% less preparation time” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
