Three systems, three cut-off dates, one spreadsheet.

The campus system counts as at the official statistics reporting date, the ERP at month-end close, the learning platform continuously. Anyone turning that into a figure for the meeting first has to decide which cut-off date applies, and do so for every faculty separately. Nobody ever writes the footnote, and in the meeting someone asks for it.

3source systemsCampus management, ERP and learning platform, each with its own cut-off date.
9facultiesEach with its own degree programmes, cost centres and utilisation.
18indicators per briefingFrom utilisation per degree programme to the share of third-party funding.
2 working dayspreparation per meetingPulling everything together, aligning cut-off dates, explaining variances.

Two working days of preparation per meeting shrink by 60%, because aligning the three cut-off dates is no longer done by hand.

The 60% reduction in preparation time is this agent's headline figure. Whether a university has nine faculties and spends two working days on a briefing depends on its size and structure; the calculation above works through a mid-sized case.

Three steps through the process.

The briefing opens with the agent's compilation, complete with source and cut-off date; the university leadership assesses the situation.

Merge indicators from three systems

The agent pulls student numbers, cost centres and enrolment data and records source and cut-off date for every figure. It does not smooth over differing cut-off dates; it shows them.

18 indicators for 9 faculties, campus cut-off 15 November, ERP close 31 October

Check variances against the previous semester

The agent compares every indicator with the previous semester and the admission quota; for figures on their own cycle, such as third-party funding outflows from the ERP, it uses the previous month instead. Where a variance exceeds the threshold agreed internally, it flags it with the figure.

Business Law utilisation: 61 of 88 places, third semester in a row below the admission quota

Place the briefing in the meeting pack

The agent compiles indicators, flagged variances and the fully calculated scenarios. Assessment and draft resolution come from the executive board.

briefing_praesidium_kw47.pdf, 18 indicators, 4 variances, 2 scenarios

What the agent does not do.

It does not recommend a resolution.

It presents both scenarios with their assumptions and starting values. The executive board decides which one to pursue.

It does not explain why utilisation drops.

It shows that Business Law has been below the admission quota for the third semester in a row. The dean of the faculty knows the cause behind it; the figure does not.

The ERP does not tell it how a faculty has structured its cost centres.

If one faculty runs continuing education on a separate cost centre and another books it under teaching, the agent shows both values separately and notes the difference beneath them. Whether the two figures are comparable is for the faculty deans to settle.

The questions that come up before the first meeting.

How quickly is the Executive Education Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “60% less preparation time” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
