Receipt Allocation Agent

Every receipt demands three decisions before any accounting begins. None of them appears in the tax return.

Classifies every receipt by property, category and year, using a controlled vocabulary.

380 receipts, 1,140 decisions, and the accounting has not even started.

Receipts arrive as photos, as PDFs attached to emails and as paper in a folder, spread over the year and in no particular order. Before any figures are entered, each one has to be opened, assigned to a property, a category and a year, and filed. Name a category differently in March and in October, and you sort everything again in January.

380receipts a yearTradesmen's invoices, service charge statements and small receipts come in over twelve months.
3decisions per receiptProperty, category and year are settled for every single receipt.
1,140individual decisionsOnly then can the tax specialist start the work they are trained for.
29free-text labelsWithout a fixed list, the same thing ends up with twenty-nine spellings that later have to be merged by hand.

A fixed vocabulary removes the twenty-nine spellings for the same thing, and with them 60% of the sorting effort, before the tax specialist opens the first receipt.

The 60% reduction in sorting effort is this agent's headline figure. The 380 receipts and the twenty-nine free-text labels describe a year for a client with several properties; they were not counted.

Three steps through the process.

The tax specialist decides whether an expense is deductible; the agent classifies every receipt by property, category and year and records the detail the allocation rests on.

Assign the receipt to property and year

The agent reads the address, service date and issuer from the receipt. If the service date differs from the invoice date, it shows both dates.

Set the category from the vocabulary

The agent chooses the category only from the stored list; it does not create free-text labels. If none fits, it marks the receipt as open.

364 of 380 receipts categorised, 16 marked as open

File the allocation with its reasoning

For every receipt, the agent records which field the allocation rested on. The list shows the tax specialist what each classification is based on.

What the agent does not do.

It does not decide whether an expense is deductible.

It assigns the receipt to a category and puts the source reference next to it. The tax specialist determines the tax treatment.

It does not create new categories.

If a receipt fits no label in the vocabulary, it stays open. The firm extends the list itself.

It does not allocate the 16 open receipts on a best-guess basis.

It leaves category and year empty and notes which detail is missing; for receipt 2026-0188, the service on 12 November 2025 versus the invoice dated 4 January 2026. The tax specialist makes the allocation.

The questions that come up before the first meeting.

How quickly is the Receipt Allocation Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “60% less sorting effort” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We establish the realistic effect for your organisation in the assessment before the pilot.
