To tell a caller what the tracking system has known since yesterday, customer service has to open two windows.

The status sits in the tracking system, the recipient's history in the CRM. On the phone, both windows are opened and the status is looked up, explained and saved as a note. The next day the same recipient calls again, because nobody contacted them proactively.

8,400shipments a dayFor one online retailer, 8,400 parcels pass through the network every day.
60delayed shipmentsSixty are held up by a scan that never happens at the hub.
2calls per shipmentThe recipient asks on the delivery day and again the day after.
9 minper callLooking up the status in two systems, explaining it, writing a note in the CRM.

Customer service sees it first in the call volume: 40% fewer service enquiries, because the message gets there before the call does.

The 40% reduction in service enquiries is this agent's headline figure. Sixty delayed shipments out of 8,400 parcels and two calls per case describe an ordinary day in contract logistics; they were not counted.

Three steps through the process.

The agent detects delays in the tracking data and drafts the message; customer service decides whether it goes to the recipient as written.

Check shipment status against the delivery plan

The agent reads scans and telematics data for shipments in transit. It flags every shipment whose next scan is overdue.

Daily volume of 8,400 shipments, 60 with no hub scan for more than 14 hours

State the cause and the new delivery date

The agent assigns each flagged shipment its last confirmed location and the expected new delivery date. From the CRM, it takes the contact method the recipient has chosen.

60 shipments, last scan at the Hanover hub at 21:40, new date plus 1 day

Submit customer messages for approval

The agent drafts a message for each shipment with the reason, the new delivery date and the tracking number. Customer service reviews the list and approves it.

What the agent does not do.

Customer messages do not leave the company without approval.

It presents the drafts with tracking number and new delivery date for review. They are sent as soon as customer service approves the list.

It does not weigh up whether a refund is due.

It states the delay and the last confirmed location, as far as the scans allow. The shipment tracking specialist decides on a credit note or replacement delivery.

No data record tells it why the scan at the hub did not happen.

It sees that the scan is missing and since when. Whether a sorting conveyor stopped or a parcel went astray is for operations to clarify on site.

The questions that come up before the first meeting.

How quickly is the Shipment Tracking Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “40% fewer service enquiries” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
