Six branches, six spreadsheets, three definitions of sales per staff hour.

Till data sits in the POS, staff hours in the scheduling system, stock in the merchandise management system. Each branch manager pieces together their own extract, rounds differently and sometimes leaves returns in. In the regional meeting, the first hour is spent just making the numbers comparable.

By the third working day, all six branches are in one report on the same definitions; assembly used to take two days. That is 60% less reporting effort.

The 60% reduction in reporting effort is this agent's headline figure. The six sites and the fourteen KPIs per report reflect a typical region and were chosen for this example.

Three steps through the process.

Why a branch deviates is for the branch manager to find out; the agent only shows which KPI fell out of line, and when.

Standardise till data for every branch

The agent reads sales, receipt count and markdowns from the POS and puts them on the same definition. It deducts returns the same way at every site.

Reporting month August, reference date 31 August, 6 branches with 14 KPIs each

Flag deviations per site

The agent compares every branch with the regional average and with its own month in the previous year. Every deviation above the set threshold gets an entry with size and period.

North branch: 168 euros of sales per staff hour against a regional average of 197 euros

Share the monthly report with the regional meeting

The agent builds the report with the same KPIs for every site and attaches the flagged deviations with their period. The regional meeting on 3 September goes through the sites one by one.

monatsbericht_region_sued_august.pdf, 6 sites, 4 flagged deviations

What the agent does not do.

Its report does not prescribe actions for the branch.

It names the deviation with size and period and puts the regional average and previous-year month alongside. What happens next is agreed between regional and branch management.

It does not explain why a week was weak.

It shows that sales per staff hour at the North branch are below the regional average. Whether roadworks, sickness or a gap in the range is behind it is for the branch manager to find out on site.

Staff hours entered late are missing from the current report.

The report as at 31 August uses the scheduling system's status on that day. If a branch enters overtime later, the KPI only shifts in the next run.

The questions that come up before the first meeting.

How quickly is the Branch Management Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “60% less reporting effort” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
