Every call-off starts with the question of how much volume is left.

A department calls with a requirement that three agreements each only half cover. By the time the version and the call-off limit have been looked up, the morning is gone and the next department is asking the same question.

40monitors requested by the departmentThe schools office needs them for a training centre this quarter.
3matching framework agreementsThree agreements list the service item; one of them ends this quarter.
60units of remaining volumeUnder RV-2024-17, 60 of the 250 agreed units can still be called off.
2call-off conditionsVersion and call-off route sit in two systems, and every further enquiry goes through the same steps again.

The same research across three agreements and two systems is repeated for every further enquiry from a department. The data sheet puts the gain at 55% faster enquiry response because version, remaining quantity and call-off route are stored in the contract database after the first check.

This example describes a typical first enquiry in a procurement office. The percentage comes from the data sheet, not from this calculation.

Three steps through the process.

The agent gives the department the agreement, version and remaining call-off quantity, with the reference. The procurement office checks whether the call-off is permissible under procurement law.

Match the requirement to the contract database

The agent reads the description of the need and searches the contract database for matching service items. It ranks the matches by fit and term.

Check the version and the call-off limit

For the selected agreement, the agent reads the current version and the agreed call-off quantity. If the volume is almost used up, it says so in the response.

Framework agreement RV-2024-17, version dated 12 February 2026, call-off quantity up to 250 units

Produce a response with the reference

The agent writes the answer with the agreement number, clause and call-off route. Every statement cites the passage in the agreement it comes from.

What the agent does not do.

It does not place the call-off.

The buyer triggers the order and the call-off letter. It provides the basis and shows the route.

It does not replace the procurement law review.

*The procurement office decides whether a requirement can lawfully be met through the agreement.* It shows the reference and the version so that this review goes faster.

It does not know about an extension that has not yet been entered.

If the procurement office extends RV-2024-17 and only enters the new version in the contract database later, it keeps citing the old end date. It states the version and its date in the response so that the buyer can spot this.

The questions that come up before the first meeting.

How quickly is the Framework Agreement Call-Off Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “55% faster enquiry response” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
