Mini-Competition Deadline Agent

A call-off takes days. The deadline error comes to light long after the contract has been awarded.

Checks standstill periods against the version of the law in force today, not against what a model learned in training.

One reworded paragraph leaves five ongoing call-offs open to challenge.

A call-off under the framework agreement takes days, while the open procedure takes weeks. When the standstill period changes, the procurement office and the specialist department carry on applying the rules as they once learned them.

1amended provisionA standstill period is reworded and takes effect on the first of the month.
5ongoing call-offsFive mini-competitions in the organisation are still based on the old rules.
2datesDispatch of the advance notice and the contract award must be dated separately.
3xrecalculationThe procurement office, the specialist department and the legal department each count the days for themselves.

One amended standstill period, five ongoing call-offs and two date fields, and the days are still recalculated by hand three times. The data sheet assumes 50% fewer procedural errors, because the period is calculated once against the stated version of the law.

The 50% is the headline figure from this agent's profile. The version dates and case references in the example are fictitious and for illustration only.

Three steps through the process.

The agent calculates the period against the version in force on the day of dispatch and shows its working alongside. It says nothing about how the bids should be evaluated.

Calculate the standstill period

The agent takes the dispatch date of the advance notice from the e-procurement platform and calculates the start and end of the period to the day. It lists weekends and public holidays individually in its working.

Check the version in force

The agent pulls the relevant deadline rule from the legal database and records the version in the note. That makes it clear which legal position the calculation is based on.

Confirm the procedural step

The agent checks the planned award date against the calculated end of the period and reports the discrepancy. It enters the date as a proposal in the deadline note.

What the agent does not do.

It does not move the award date.

It records the discrepancy in the deadline note. Procurement management decides on a postponement and takes responsibility for it.

It does not replace legal review.

It calculates the start and end of the period and discloses the version it calculated against. The legal assessment of the result stays with the legal department.

A dispatch date the e-procurement platform does not hold is missing from its calculation.

It calculates the start and end of the period from the two date fields the platform holds for MW-2026-041. If the advance notice went out by post, it has no date for it and leaves the period open at that point.

The questions that come up before the first meeting.

How quickly is the Mini-Competition Deadline Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “50% fewer procedural errors” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
