Meeting and Documentation Agent

Four weeks later, nobody remembers why the decision was made.

Structures meeting notes, pulls out to-dos and makes decisions easy to find again.

One hour of meeting, then almost another hour of follow-up.

During the meeting, everyone takes their own notes. Afterwards, one person puts the minutes together, tracks down who owns each task and adds the dates. The decision ends up buried in running text that nobody searches when they need to look something up.

Whoever writes up the operations meeting finds the structure, eleven tasks and three decisions already in front of them, and needs 50% less follow-up time.

The 50% reduction in follow-up time is this agent's headline figure. The number of participants, meeting length, number of tasks and follow-up time describe a typical operations meeting and are not measured values.

Three steps through the process.

From the notes, the agent extracts the structure, tasks with owners and decisions with their reasoning; whoever made a decision remains responsible for it.

Structure the notes by topic

The agent maps the notes to the agenda items and separates discussion from outcome. Every line keeps its timestamp from the meeting.

Operations meeting of 12 February 2026, 6 agenda items, 8 participants

Pull out tasks with owners

Every commitment in the text becomes a task with a name and a date. If either is missing, the agent flags the task.

11 tasks, 9 with name and date, 2 flagged as having no owner

File decisions so they can be found

The agent files each decision as a separate entry, with the date, the reasoning and the points that argued against it. The entry links to the minutes.

3 decisions filed, entry on 2027 network charges with 2 counter-arguments

What the agent does not do.

It does not make decisions in the meeting.

It records what was decided and on what grounds. Whoever made the decision remains responsible for it.

It does not assign tasks on its own initiative.

The two tasks without an owner stay flagged. The meeting chair decides who takes them on.

Anything agreed in the corridor after the meeting is not in any minutes.

It does not appear in the notes, so the agent does not list it as a task. It belongs on the agenda for the next meeting.

The questions that come up before the first meeting.

How quickly is the Meeting and Documentation Agent ready to use?

A pilot typically runs on your own data within 6 to 8 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “50% less follow-up time” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
