Twice a year, the whole intake arrives at once.

By the cut-off date of a selection round, 28 project registrations are waiting in the committee system. Each one needs an assessment, a check against the programme strand and its own paragraph in the committee paper.

3xthe same registrationIt lands on the same desk three times before the committee sees it.

Every single registration means three rounds of handling within a fortnight. The agent applies the same grid to all of them and cuts preparation time by 50%.

This scenario describes a selection round in regional management with a half-yearly cut-off date. The percentage is the headline figure from this agent's profile, not the result of this round.

Three steps through the process.

The agent puts every registration through the same criteria; the committee decides which project the region needs most.

Assess registrations

The agent reads every registration in the selection round and assigns it to a programme strand. It names each registration it cannot assign.

28 registrations, 4 without a programme strand

Check the criteria

The agent applies the same assessment grid to every registration. Co-financing, maturity and sponsorship appear in the same order for each project.

Assessment grid with 4 criteria per project

Prepare the committee paper

The agent writes the draft paper together with a list of open points. Anything it cannot substantiate from the registrations, it marks as open.

What the agent does not do.

It does not select the projects.

It sets out the 28 registrations side by side in the same grid. The committee decides which of them enter the programme strand.

It does not rule on whether a registration is eligible for funding.

It reports co-financing and maturity as the registration states them. Whether a project meets the conditions of the programme strand is for the programme officer to judge.

It does not have the previous round's statement of use of funds in front of it.

It assesses the 28 registrations from the committee system and the project database. Whether a sponsoring body has accounted for its project from the last selection round is recorded in the statement of use of funds held by the approving body, so it does not feed into the agent's grid.

The questions that come up before the first meeting.

How quickly is the Project Qualification Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “50% less preparation time” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
