4,200 free-text reasons a quarter, and not one of them appears in a report.

On the returns slip, the customer picks one of eight reasons and writes next to it what actually happened. The reason ends up in the shop system, the free text in a customer service ticket, the photo in an attachment. Anyone who wants to know why one item comes back three times as often as the one next to it has to read through three systems.

4,200returns a quarterThat is how many cases go through the returns portal for one shop category.
8preset reasonsMore than half of the cases end up under the catch-all reason Other.
12named causesThat is how many recurring causes can be drawn from the free texts, such as size runs small.
610cases in the largest causeThat many returns cite the same cause, spread across three items.

Three named causes account for 1,040 of the 4,200 cases. Once the size chart, colour photo and material details on the item are right, these three bring the category a 15% lower return rate.

The 15% reduction in the return rate is this agent's headline figure. The 4,200 returns and the twelve causes identified describe a typical quarter in one shop category; they are not measured values.

Three steps through the process.

The agent turns 4,200 free-text reasons into twelve named causes with example cases; the customer experience manager decides on changes to the item.

Group return reasons into causes

The agent reads the selected reason, free text and ticket comment for every case from the shop system and CRM. It groups matching statements into named causes and attaches example cases.

12 causes from 4,200 cases, largest group: size runs small, with 610 cases

Rank items by return rate

For each item, the agent calculates the return rate, the main reason and the margin impact of returns. Items above the category average go to the top.

Bring the cause report to the category meeting

The agent sets out causes, affected items and suggested changes to the product copy side by side, each line with a reference to the case. Customer service and category management go through the report together.

What the agent does not do.

It supplies a draft text, not the reply to the customer.

It provides the case history and a suggested wording. Customer service decides whether and how to reply.

It does not establish a defect in the goods.

It counts how often breakage or a defect is given as a reason and lists the cases by number. The returns goods-in team inspects the goods themselves.

It does not count what is returned over the store counter.

It analyses the cases from the returns portal. A store return only appears once the till system records it as a case.

The questions that come up before the first meeting.

How quickly is the Returns Management Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “15% lower return rate” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
