Logistics Workforce Scheduling Agent

Finding a replacement is not what eats up the morning. Working out who is even allowed to drive this route is.

Optimises scheduling for drivers and warehouse staff.

An absence at four in the morning costs dispatch half the morning.

The shift plan is in the HR system, the routes are in the TMS, and the qualifications sit in the personnel master data. When someone drops out, dispatch phones the available drivers one after another and checks by hand for each one whether their licence, driving time and certificates match the route. Every yes knocks on to a later shift, and the round starts all over again.

46drivers on the planThe Bremen site runs the week with 46 drivers across three shifts.
3absences before the shift startsTwo sick calls and one driver who has used up their driving time come in before six.
13phone callsThat is how many calls it takes until someone suitable agrees to cover the three routes.
1knock-on changeOne of the acceptances leaves a gap in the late shift, which then also has to be refilled.

Dispatch spends half the morning on these calls; a checked plan proposal takes 25% of the planning effort off its hands.

The 25% reduction in planning effort is this agent's headline figure. The 46 drivers, three absences and thirteen phone calls on a Monday morning are a typical start to the week at a haulage depot; they were not counted.

Three steps through the process.

Dispatch decides which shift is filled in the end; the agent gives it the checked plan proposal with the qualifications alongside.

Check absences against the shift plan

The agent reads the shift plan from the HR system and the day's routes from the TMS. It flags every route left without a driver once the absences are in.

Check qualifications against the route

For each open route, the agent compares the requirements with the recorded qualifications of the available drivers. Anyone ruled out by driving time or certification appears on the list with the reason.

Route 2214, dangerous goods: 5 available, 2 with a valid ADR certificate

Submit the plan proposal for approval

For each open route, the agent puts together a proposal with an alternative and notes which later shift moves as a result. Dispatch approves it or makes changes.

What the agent does not do.

It does not assign any driver.

It sets out the proposal and the alternative side by side. Dispatch makes the assignment in the HR system, and the site manager approves any overtime.

It does not weigh whether a route is reasonable for an individual driver.

It shows that driving time and certification fit route 2214. What the works agreement and personal circumstances allow is settled by dispatch with the HR business partner.

A verbal shift swap at the gate does not reach it.

If a driver takes over a colleague's early shift on a quick word at the gate, the agent keeps the old assignment. It only takes the swap into account once it is entered in the HR system.

The questions that come up before the first meeting.

How quickly is the Logistics Workforce Scheduling Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “25% less planning effort” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
