The discharge letter gets written between two ward rounds. By then, nobody knows which version of the framework agreement applies.

Drafts discharge letters in line with the current version of the framework agreement.

The most frequent documentation task in the hospital is also the one written last.

The letter is written at the end, when the case already looks closed. Findings sit in the hospital information system, the medication in the prescription record, the progress notes in the nursing documentation, and the framework agreement requires details from all three. If a mandatory detail is missing, the letter comes back long after the patient has gone home.

1dischargeThe case is closed, the letter is still outstanding.
3source systemsFindings, medication and progress notes sit in three different systems.
1version in forceWhich mandatory details are required depends on the current state of a framework agreement that is constantly being revised.
2writing roundsThe first draft is written on the ward, the second round after it comes back from medical controlling.

The second writing round is no longer needed, because the twelve mandatory details of the version in force are already evidenced or flagged as open in the first draft; documentation time falls by 60%.

The 60% reduction in documentation time is this agent's headline figure. Three source systems and two writing rounds describe a typical discharge day on the ward; nobody counted them.

Three steps through the process.

The medical staff decide on diagnosis and treatment; the agent drafts the discharge letter in line with the version of the framework agreement in force.

Pull the case data from the systems

The agent compiles findings, medication and progress entries for the case. Every detail it carries over keeps the reference to its source.

Check the draft against the version in force

The agent checks the draft against the mandatory details of the current version. Missing details are flagged in the text at the place where they belong.

Checklist with 12 mandatory details, 2 of them flagged as open

Place the letter in the case file

The agent places the draft, with source references and open items, in the case file. The medical staff then sign it.

entlassbrief_2026-114873_entwurf.docx, 2 pages, 2 open details

What the agent does not do.

It makes no diagnosis and changes no treatment.

It uses what is documented in the case and cites the source. The medical staff are responsible for what applies clinically.

It does not trigger dispatch to the GP.

entlassbrief_2026-114873_entwurf.docx sits in the case file awaiting signature. When the letter goes to the GP or the next treating clinician is for the ward to decide.

A verbal handover does not appear in the draft.

Notes on paper and what was said on the ward round do not reach it. It lists the affected point as an open mandatory detail.

The questions that come up before the first meeting.

How quickly is the Discharge Letter Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “60% less documentation time” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We establish the realistic effect for your organisation in the assessment before the pilot.
