One brand name on the phone, four levels of the register behind it.

The insured person gives a brand name. Customer service has to find the product group on its own, then the subgroup and type, and then look up which requirements are listed there. If a question is still open, the case goes to medical aids provision, where the search is run a second time.

1brand nameOn the phone, a product name comes up, not an item number.
4levels in the registerGroup, application site, subgroup and type lead to the item that carries the entitlement.
12 minutessearch per enquiryMost of it goes on the subgroup and on checking against the current version.
3xthe same searchOnce on the phone, once in case handling, once when the provider calls back with a question.

The specialist searches once rather than three times for twelve minutes each, because the item and its reference stay attached to the case, and processing is 55% faster.

The 55% faster processing is this agent's headline figure. The search time and three searches per enquiry describe a typical case in medical aids provision and are not measured values.

Three steps through the process.

Benefits case handling approves the medical aid; the agent assigns the item in the up-to-date register and sets out the requirements listed there, with the reference.

Query the up-to-date register

The agent queries the register at the time of the enquiry. It records the retrieval time in the header of the note.

Assign subgroup and type

The agent works its way down from the group to the item. If more than one item fits, it lists them all, with what sets each apart.

Compile the answer with references

The agent puts the listed requirements into a note, with their references. The specialist gives the answer.

What the agent does not do.

It does not approve any medical aid.

It assigns the item and names the requirements listed there. Benefits case handling decides on the provision.

It does not assess medical necessity.

If the register lists a medical prescription as a requirement, it writes that down. The assessment of the individual case stays with the specialist, with the Medical Service (MD) if needed.

It cannot find a product that has no entry in the register.

For enquiry HM-2026-2044 it records that no entry existed when the register was retrieved on 26 August 2026 at 09:12. Medical aids provision then looks into it.

The questions that come up before the first meeting.

How quickly is the Medical Aids Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “55% faster processing” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
