One address, one map, and still nine minutes on the phone.

The heat plan exists as a set of maps with area categories and an expansion timetable. On the phone, the adviser has to find the address in the cadastre, read off the category, look up the timetable for that area and then explain what it means for the owner and what it does not. Each of these four steps sits in a different document.

4steps per callFind the address, read off the category, look up the timetable, explain how binding it is.
9 minutescall lengthThat is how long an enquiry takes when all four steps happen during the call.
240enquiries a monthThat is how many owner questions have come in every month since the plan was published.
36 hoursadvice time a month240 enquiries at nine minutes each tie up customer advice for more than four working days.

If the very first sentence already gives the answer for the address, with category, timetable and context, 60% of follow-up queries disappear.

The 60% reduction in follow-up queries is this agent's headline figure. The number of enquiries and the call length describe the rush a customer advice team sees once the heat plan is published; nobody counted it.

Three steps through the process.

For an address, the agent states the designated area, the expansion timetable and how binding they are; it does not promise a connection.

Match the address to the designated area

The agent finds the address in the heat plan maps and reads off the area category. It also gives the reference in the plan.

Lindenweg 12, area W-3, heat network review area, plan sheet 7

Show the expansion timetable for the area

The agent retrieves the timeline the plan sets out for this area and names the next milestone. It reports years exactly as they appear in the plan.

Feasibility study by 2028, construction from 2031 at the earliest, plan sheet 7

Put together the answer for the owner

The agent writes the answer with the area, the timetable and a note on what the plan does not determine. The customer adviser reads it out or sends it as a letter.

What the agent does not do.

It does not promise a heat network connection.

It reports what the plan sets out for the area and adds that this creates no entitlement. The municipality decides with the utility whether and when to build.

It does not advise on funding for a new heating system.

It explains which area the house is in. Which heating system pays off for Lindenweg 12 is for the owner to work out with an energy adviser and installers.

It only knows about an update to the plan once it is in the maps.

If the council adopts a revised area boundary, it keeps reporting the version on plan sheet 7 until the update is entered. The status date tells the customer adviser which version they are looking at.

The questions that come up before the first meeting.

How quickly is the Heat Planning Enquiry Agent ready to use?

A pilot typically runs on your own data within 6 to 8 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “60% fewer follow-up queries” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
