One meeting, four systems, two years of back story.

The customer has been on the books for years, and a sales cycle runs twelve to eighteen months. Before the meeting the key account manager opens the CRM, the quotation archive, the ERP for the quantities called off, and his own notes. He only finds out why the last quotation was lost if someone wrote it down.

9quotations in two yearsThey sit in the quotation archive; four of them were lost.

75minutes of preparationThat is how long it takes to pull everything together before an annual review.
2open follow-upsTwo commitments from the last meeting were never followed up.

The key account manager goes into the North Plant annual review with 45% less preparation time and with the two commitments from January that still have no follow-up activity.

The 45% reduction in preparation time is this agent's headline figure. The 75 minutes spent pulling everything together before an annual review describe a typical routine in key account management; they are not measured.

Three steps through the process.

The agent compiles the account briefing; the key account manager is accountable for whatever is promised in the meeting.

Bundle the account's quotation history

The agent pulls together every quotation, order and loss for this customer from recent years. For every loss it names the documented reason and the date.

North Plant account, 9 quotations since 2024, 4 lost, 3 of them on price

Pull out open follow-ups

The agent reads the meeting notes and flags every commitment with no follow-up activity. It names the date, the commitment and who gave it.

2 open commitments, the oldest from 12 January 2026, sample DN 125 butterfly valve

Deliver the briefing for the meeting

The agent sets out history, open points and the latest call-offs on two pages. The key account manager takes it into the meeting and decides what to talk about.

briefing_werk_nord.pdf, 2 pages, 9 quotations and 2 open commitments

What the agent does not do.

It sends nothing to the customer.

It prepares the briefing and a draft follow-up. The key account manager decides whether and when anything goes out.

It does not assess the odds of the current opportunity.

It reports history and open points. The sales engineer enters the opportunity assessment in the CRM.

Call-offs through a distributor are not booked to the account in the ERP.

There the distributor is the customer, and North Plant does not appear in the quantities. The key account manager fills in what is installed via that route from the conversation.

The questions that come up before the first meeting.

How quickly is the Key Account Agent ready to use?

A pilot typically runs on your own data within 6 to 8 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “45% less preparation time” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
