The calendar moves on; the file does not.

A residence permit expires in eight weeks, and the renewal application is not yet ready for a decision. Three pieces of evidence, two appointments and two certificates all depend on that one date.

1expiry dateA residence permit expires in eight weeks, and the application sits unprocessed.
3pieces of evidencePassport, income and health insurance each have to be current, not just submitted at some point.
2appointmentsOne to submit the application, a second to hand in the missing documents.
10weeks of provisional certificateIf the permit expires before the decision, a provisional certificate bridges ten weeks, and the applicant comes to the counter a third time to collect it.

With the gap in the case officer's inbox eight weeks before expiry, 55% of missed deadlines disappear before anyone needs a provisional certificate.

The 55% reduction in missed deadlines is this agent's headline figure. The three pieces of evidence, two appointments and the certificate describe the usual course of a renewal; they are not taken from any statistics.

Three steps through the process.

The immigration office grants the residence permit; the agent only reports which deadline is running and which piece of evidence is out of date.

Monitor deadlines

Every night, the agent compares the deadline calendar with the register extract. It reports every permit that expires within the next 90 days.

Deadline run 24 March 2026, 214 expiry dates in the next 90 days

Check the state of the evidence

For every file it reports, the agent reads the evidence submitted and its date of issue. It separates out-of-date evidence from missing evidence.

File ref. 32-1148/2026, 5 documents checked, 1 older than six months

Manage follow-ups

The agent writes the follow-up with date, reason and open item. The case officer takes it on or reschedules it.

What the agent does not do.

It does not grant or refuse the permit.

The agent reports deadlines and gaps for file ref. 32-1148/2026. Granting, refusal and the hearing remain with the immigration office.

It does not reassess whether the applicant can support themselves.

It records that the proof of income in the file is seven months old. Whether it still covers the cost of living today is for the case officer to judge.

What is entered in the Central Register of Foreign Nationals during the day only reaches it the following night.

Its check runs at 05:30. If fresh proof of income for file ref. 32-1148/2026 is recorded at midday, the follow-up still shows the morning's position, and the agent records the date of that position.

The questions that come up before the first meeting.

How quickly is the Residence Law Deadline Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud, private cloud or on-premises. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “55% fewer missed deadlines” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We establish the realistic effect for your organisation in the assessment before the pilot.
