The particulars are waiting for three inputs, and the flat stands empty until they arrive.

The property data sits in the ERP, the photos and floor plan in the file store, the energy performance certificate in document management. For every set of particulars, someone gathers them again and writes the text from scratch. The target group is chosen by gut feeling, even though the CRM shows who responded to comparable units.

The gain of 30% faster marketing comes from cutting five days off the vacancy before listing.

The 30% speed-up in marketing is this agent's headline figure. The eight days between notice and listing reflect a typical lettings process; they were not measured.

Three steps through the process.

Particulars, target group profile and campaign proposal are produced as drafts; nothing is published until the lettings negotiator has approved it.

Bring the property data together for the particulars

The agent pulls location, floor area, fittings and the energy performance certificate together from the ERP and the file store. It names every field on the particulars checklist that lacks evidence and records how long the energy performance certificate is valid.

Unit EXP-7729, 14 fields on the particulars checklist evidenced, certificate valid until 31 August

Derive the target group from the CRM

The agent compares the unit with recent months' enquiries in the CRM. It shows which prospect profiles responded to comparable flats.

3 profiles, each with more than 20 enquiries about 2-room flats in the district

Submit the draft particulars for approval

The agent files the text, image order and campaign proposal as a draft in the CRM. The lettings negotiator approves what goes on the portals.

What the agent does not do.

It knows the condition of the flat only as documented.

Photos and the handover report shape its description. If the kitchen has been replaced since the last survey, that goes into the particulars once it is in the property file.

It does not assess how the location affects the achievable price.

It lists the comparable rents from the CRM alongside, with unit and date. Lettings management sets the asking price.

It does not put any listing online.

The draft particulars and channel proposals sit in the CRM. The lettings negotiator triggers publication on the portal.

The questions that come up before the first meeting.

How quickly is the Property Marketing Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “30% faster marketing” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
