For installation 126, the property team spends just as long poring over the legal sources as it did for installation 1.

The Industrial Safety Ordinance (BetrSichV), workplace law, technical rules and the state building code sit side by side, and none of the four contains the others. The technical property team gathers the relevant passages for each installation, copies the inspection intervals into a spreadsheet and starts again with the next installation. If a rule changes, nobody knows which installations are affected without researching it again.

9individual obligationsThe four bodies yield nine obligations, each with its own intervals and evidence.

After the first analysis of an installation type, every further ventilation system costs 55% less review effort, because the four bodies of law only need to be cross-checked, not reviewed from scratch.

The 55% reduction in checking effort is this agent's headline figure. Nine individual obligations per ventilation system and 126 installations in the portfolio reflect a typical facility management set-up; they are not measured data.

Three steps through the process.

From four bodies of law the agent builds an obligations list per installation, without interpreting any individual obligation.

Match the installation to the bodies of law

The agent takes installation type, location and use from the CAFM system and determines the applicable bodies of law from them. It picks the state law based on where the property is.

Derive the obligations from each body

The agent lists the obligations from each body of law individually and gives the reference for each, down to section and subsection. It merges overlapping obligations and keeps both references.

9 obligations, 12 references, 2 overlaps between the ordinance and the technical rule

Show the inspection deadline for each obligation

For every obligation the agent compiles the interval, the latest inspection record and the next due date. The list goes to the technical property team with its references.

pflichtenliste_rlt07_lindenhof.pdf, last hygiene inspection 14 November 2023, next due 14 November 2026

What the agent does not do.

It does not commission the inspection itself.

It shows the interval and the next due date for each obligation. Facility management issues the order to the qualified person.

It does not interpret the individual obligation.

It gives the reference down to section and subsection. If there is doubt about how it applies in this building, the legal department or the competent authority has the answer.

It misses alterations that are not recorded in the installation register.

If air-handling unit 07 is extended with a humidifier, the hygiene obligations change. That only appears in the obligations list once the installation data has been updated.

The questions that come up before the first meeting.

How quickly is the Operator Obligations Agent ready to use?

A pilot typically runs on your own data within 4 to 6 weeks. The agent connects to your existing systems rather than running as a separate, parallel environment.

Where is the data processed?

EU cloud or private cloud. Processing is GDPR-compliant and models are never trained on your data. Details in the Trust Center.

Where does the figure “55% less review effort” come from?

It is based on experience from comparable projects and process benchmarks, not a commitment. We work out the realistic effect for your organisation during the assessment before the pilot.
